Document Administrator

The Document Specialist is responsible for maintenance of company loan documents. This role manages the storage, cataloging and retrieval of documents in both paper and digital form. They maintain the integrity of working documents and update documentation when revised. They maintain systems for document storage and retrieval and assist other employees on clear and efficient system usage.

Additionally, they are responsible for organizing, logging in MSP, Imaging, Uploading, and distributing mail among departments within the company

Primary Duties & Tasks

  • Imaging of all Documents.
  • Use fax and scanning machines.
  • Files away documents when they are processed and completed.
  • Sort and collate incoming and outgoing mail.
  • Maintains Airtable database.
  • Log-in mail, UPS, FedEx, Certified Mail, & Priority Mail
  • Log-in checks and payments from borrowers and distribute.
  • Manages requests on email about deeds that need to be signed.
  • Manages title signatures.
  • Receives files when company buys loans.
  • Records documents from county.
  • Assists attorneys with filing
  • Conducts due diligence before pulling the title documents together.
  • Conducts research for title search.
  • Fixes files and updates with correct information when needed.

Knowledge & Skills Required
